PODCAD respects your privacy. This policy explains how we collect, use, store and disclose personal information, in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

Who we are

This policy applies to Podcad Industries Pty Ltd, trading as PODCAD (“PODCAD”, “we”, “us” or “our”), a custom orthotics manufacturer based in Port Lincoln, South Australia. We work with podiatrists and other clinicians, who send us prescriptions and patient information so we can design and manufacture custom orthoses.

What we collect

We only collect personal information that is reasonably necessary for our business. Depending on how you deal with us, this may include:

  • Enquiries: when you use our enquiry form or contact us, we collect your name, clinic or business name, phone number, email address, practitioner type, the type of enquiry and the details in your message.
  • Accounts and orders: practitioner and clinic contact details, delivery and billing addresses, payment and invoicing details, and order history.
  • Patient and clinical information: to manufacture a device, practitioners provide prescriptions, 3D scans, casts or foam impressions, measurements and relevant clinical notes. This may include a patient’s name or reference and health information, which is sensitive information under the Privacy Act.
  • Website information: like most websites, our website and hosting systems may record technical information such as your IP address, browser type and the pages you visit, and use cookies needed for the site to work.

How we collect it

We collect most personal information directly from you, for example when you complete a form, email or call us, or place an order. Patient information is provided to us by the treating practitioner, who is responsible for obtaining the patient’s consent to share it with us so that their device can be manufactured.

How we use it

We use personal information to:

  • respond to enquiries, and set up and manage practitioner accounts
  • design, manufacture, check and deliver orthoses to the prescription supplied
  • discuss cases with the treating practitioner, and provide practitioner support, adjustments and remakes
  • issue invoices, process payments and keep business records
  • improve our products, services and website
  • meet our legal obligations

We use patient and clinical information only to provide our services to the treating practitioner, or as otherwise required or permitted by law. We don’t sell personal information, and we don’t use patient information for marketing.

If we send practitioners updates about our products and services, you can opt out at any time by using the unsubscribe link or contacting us.

Who we disclose it to

We may disclose personal information to:

  • the treating practitioner and their clinic
  • service providers who help us run our business, such as website hosting, email delivery, IT and cloud storage, design and manufacturing software, couriers and accounting providers
  • our professional advisers, such as accountants and lawyers
  • government authorities and others where required or authorised by law

We take reasonable steps to ensure our service providers handle personal information only for the purpose for which we share it.

Overseas storage

Some of our service providers, such as email, website hosting and cloud software providers, may store or process information on servers outside Australia, including in the United States. Where this happens, we take reasonable steps to ensure the information is handled in a way that is consistent with the Australian Privacy Principles.

How we protect it

We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. These steps include access controls, password-protected systems and secure storage of physical items such as casts and paperwork.

When we no longer need personal information, and aren’t required by law to keep it, we take reasonable steps to destroy or de-identify it.

Access and correction

You can ask for access to the personal information we hold about you, or ask us to correct it if you believe it is inaccurate, out of date, incomplete, irrelevant or misleading. Contact us using the details below and we’ll respond within a reasonable time, usually within 30 days. If we can’t agree to a request, we’ll tell you why.

Patients who want access to their clinical records should generally contact their treating practitioner first. We’ll work with the practitioner as needed.

Complaints

If you have a concern about how we’ve handled your personal information, please contact us first so we can try to resolve it. We’ll acknowledge your complaint and aim to respond within 30 days.

If you’re not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or on 1300 363 992.

We may update this policy from time to time. The current version is always available on this page, and the “last updated” date at the top of the page shows when it was last revised.
